How we scope

How we scope: proposals, SOWs and requirements

65 documents from real projects and proposals: what each one scoped, how big it was, and the case study where there is one.

Our templatesThe two documents every project starts from. Both are open to download as clean samples.2 documents
  • Proposal and SOW template

Project proposal and statement of work

    Our own template, September 2026

The structure every proposal follows. It opens with the outcome, the current situation, the approach, a table of success measures (baseline, target and how each is checked) and the decision we ask for. Then come the deliverables with the evidence that accepts each one, what is out of scope, milestones with owners, what we need from you, and how often we report.

  • Intake questionnaire

    Discovery and scope questionnaire

First written for a marketing-dashboard prospect, October 2025

One intake that holds every answer for a marketing dashboard and a creator-content MVP: who decides and how, a budget band, compliance needs (GDPR, CCPA, SOC 2), a checklist of data sources from GA4 and the ad platforms to HubSpot, Salesforce and the data warehouses, the KPIs, the roles, how often data refreshes and who gets alerts.

Software, automation and dataScopes, SOWs, requirements and estimates for systems we built or were asked to build.32 documents
  • SOW review

    SOW validation and project status

    1888Driving / Distance Learning Center, May 2026

A six-week, 360-hour SOW for an AI calling and lead marketplace, checked section by section before the build. We broke it into 63 atomic requirements, recorded 15 architecture decisions (ADRs), raised 24 client questions and re-rated 11 risks. The review found 8 internal contradictions, redid the effort bottom up, tested 19 acceptance criteria for measurability (7 failed) and listed the consent and personal-data gaps.

    63 requirements, 15 ADRs
  • Scope of work

Revised scope of work: lead marketplace MVP

    A US lead-generation marketplace, January 2026

A lean MVP: a consumer app, AI phone calls through Retell, Twilio phone lines, lead distribution, a portal for shops and an admin. Each module is listed as included beside a written list of what is not, and third-party services do the work wherever they can.
